Event Regulations

Victoria Cultural Center (CKV) in Gliwice

I. GENERAL PROVISIONS

  1. Organizer: These regulations are issued by the Victoria Cultural Center in Gliwice, located at: ul. Barlickiego 3, 44-100 Gliwice; NIP (VAT ID): 631 27 01 230; Registered Cultural Institution No. RIK VII/2021 (hereinafter referred to as the “Organizer”).
  2. Scope: These rules govern participation in all events organized or co-organized by the CKV.
  3. Definition of “Event”: Includes concerts, festivals, lectures, training courses, workshops, outdoor activities, happenings, and all other meetings organized by the CKV.
  4. Access: Participation may be ticketed or free of charge, at the Organizer’s discretion.
  5. Acceptance: Entry into the event premises constitutes full acceptance of these regulations.
  6. Security: Safety is managed by the Organizer’s designated security and information services. Personnel will be clearly identified by official ID badges.

II.  REGISTRATION AND ADMISSION

  1. Entry Requirements: In the case of ticketed events, only persons with a valid ticket or authorized ID/pass may enter the premises.
  2. Age Restrictions:
    • Adults & Minors (15+): May participate independently.
    • Minors (under 15): May only attend under the constant supervision and sole responsibility of a legal guardian or authorized adult.
    • Adult-Only Events: Clearly marked events restricted to persons 18+ are not accessible to minors.
  3. Prohibited Entry: The Organizer reserves the right to refuse entry to:
    • Persons visibly under the influence of alcohol or controlled substances.
    • Persons possessing weapons or dangerous objects (as determined by security).
    • Persons behaving aggressively or posing a threat to public order.

III. RULES OF CONDUCT

  1. Compliance: All participants must follow the instructions of the Organizer and security staff.
  2. Strict Prohibitions: The following are strictly prohibited on event grounds:
    • Disrupting the event or using offensive/vulgar language.
    • Inciting conflict (racial, national, religious, or sexual grounds).
    • Littering, smoking (including e-cigarettes), or relieving oneself outside of designated restrooms.
    • Blocking exits and evacuation routes.
    • Bringing in glass containers, cans, or outside alcohol.
    • Using drones or unmanned aerial vehicles without prior written consent.
    • Professional recording equipment (lenses >200mm, TV cameras) without official accreditation.
    • Unauthorized commercial activity or solicitation.
  3. Technical Safety: It is strictly forbidden to stand in aisles, damage technical equipment (sound/lighting), or enter restricted areas (stage, backstage, dressing rooms).
  4. Health Warning: Events featuring high sound intensity or strobe lighting may be hazardous to pregnant women, persons with heart conditions, high blood pressure, or epilepsy. Participants with these conditions attend at their own risk and are advised to seek medical clearance.
  5. Security Rights: Security personnel are authorized to:
    • Issue binding instructions to maintain order.
    • Inspect bags, backpacks, outer clothing, and containers (e.g., thermos flasks) if there is a suspicion of prohibited items.
    • Request that non-compliant individuals leave the premises.

  IV.   EVENT CHANGES AND CANCELLATIONS

  1. The Organizer reserves the right to modify schedules or change event dates.
  2. The Organizer may cancel an event due to low attendance or other critical factors.
  3. In the event of cancellation, the Organizer’s liability is limited to the refund of the ticket price. No additional compensation shall be provided.

V.   RECORDING AND IMAGE RIGHTS

  1. Documentation: Events may be photographed or recorded. These materials may be used by the CKV for documentation, educational, and promotional purposes across all media channels.
  2. Legal Basis: Pursuant to Art. 81(2)(2) of the Copyright Act, the dissemination of an image does not require permission if the person is merely part of a larger whole (gathering, landscape, or public event).
  3. Commercial Use: The Organizer guarantees that participants’ likenesses will not be used for purely commercial purposes. Participants waive any claims to remuneration for such use.

VI.   PERSONAL DATA PROTECTION (GDPR)

  • Controller: Victoria Cultural Center, ul. Barlickiego 3, Gliwice.
  • DPO: iod@ckvictoria.pl.
  • Purpose: Data is processed for statutory tasks (Art. 6(1)(c) GDPR) and promotional purposes based on consent (Art. 6(1)(a) GDPR).
  • Retention: Data is stored in accordance with statutory archiving regulations (up to 50 years for certain consent-based records).
  • Rights: You have the right to access, rectify, restrict, or object to processing, and to lodge a complaint with the UODO (President of the Office for Personal Data Protection).

VII.   LIABILITY

  1. The Organizer is not liable for damages caused by other participants.
  2. The Organizer has the final decision in all unforeseen circumstances.
  3. Minor Protection: CKV applies strict Child Protection Standards during all events.

VIII. ACCESSIBILITY FOR PEOPLE WITH SPECIAL NEEDS

  1. The CKV strives to ensure maximum accessibility for all participants.
  2. Alternative Access: If full architectural or digital accessibility cannot be achieved due to technical reasons, the CKV will provide alternative access (e.g., support from another person or technical aids).
  3. Detailed accessibility information for specific venues will be provided on the website and promotional materials.

IX. FINAL PROVISIONS

  1. Availability: These regulations are available at CKV headquarters, on the website (www.ckvictoria.pl), and at all managed facilities (Kino Amok, Scena Bojków, etc.).
  2. Effective Date: These regulations are effective as of April 9, 2025.
  3. Amendments: The Organizer reserves the right to amend these regulations. Changes become effective upon publication on the website.
